A WNS Perspective

Key Points

  • A leading energy provider sought to replace fragmented, spreadsheet-based procurement workflows and manual contract tracking with a centralized, digital solution to improve speed, control and compliance.
  • WNS co-created a smarter, future-ready procurement contract management platform using Appian’s low-code procurement suite, enabling seamless integration with the client’s ERP, automated supplier onboarding and real-time visibility.
  • The transformation reduced process delays by 30 percent, streamlined compliance tracking and established a scalable foundation with unified procurement workflow automation.

The Industry Landscape
Fragmented Procurement Workflows Demand a Smarter, Unified Response

Procurement leaders today face rising pressure to drive speed, transparency and compliance. However, legacy Enterprise Resource Planning (ERP) systems and spreadsheet-driven processes continue to impede visibility and control. Across industries, organizations struggle with siloed supplier data, inefficient contract management and time-consuming manual workflows for purchases and invoicing.

As business priorities shift toward digital-first operations, there is an urgent need to replace outdated procurement systems with intelligent platforms that unify workflows, reduce risk and unlock strategic insights.

The Client Challenge
Lack of a Dedicated Contract Management System, Leading to Fragmented and Manual Workflows

The client managed its procurement lifecycle through fragmented tools and manual processes. Without a dedicated contract management system, teams relied on spreadsheets and basic repositories to track contract workflows, supplier data and approvals. Its legacy ERP platform lacked intuitive interfaces and workflow capabilities, creating friction across Purchase Requests (PRs), Purchase Orders (POs) and invoice processing.

Key challenges included:

Manual, spreadsheet-based contract management

No centralized platform to track or approve procurement activity

Poor visibility into spend, compliance deadlines and supplier performance

Inefficient onboarding processes for new vendors

Inability to scale procurement operations with speed or agility

The Solution
PRISM - A Unified, Workflow-driven Platform Built on Appian

WNS co-created PRISM, a centralized procurement platform built on the Appian low-code automation suite. Designed to replace the manual, fragmented ecosystem, PRISM offered end-to-end visibility and automation across the procurement lifecycle.

Key solution components

By replacing spreadsheets with structured workflows and empowering suppliers with a digital portal, the client transitioned to a truly intelligent procurement model that is workflow-native, integrated and insight-led.

The Outcome
Faster, Smarter Procurement Operations with Full Lifecycle Visibility

The implementation of PRISM delivered a unified, scalable procurement backbone for the client. With over 2,900 supplier records migrated from legacy systems and 28,000+ invoices processed through the platform since go-live, the organization established a robust digital core to manage procurement at scale. This foundation enabled measurable improvements in efficiency, compliance and strategic control.

% reduction in process delays, enabled by real-time tracking and workflow automation

End-to-end visibility into supplier contracts and spend, supporting more strategic sourcing decisions

Automated compliance alerts for expiring documents and certifications

Supplier segmentation and KPI tracking, driving better vendor performance management

The shift from manual to digital procurement operations marked a significant step in the client’s broader transformation journey, creating a foundation for smarter, more resilient supply chain and vendor ecosystems.

Client Testimonial

"Well done, all WNS team! We definitely hit the first major milestone of this project absolutely as planned. Despite the current situation in India, your team pulled it on time as committed. I wonder how this could be achieved with the team working from home and various locations, especially in such a short span of time, but this project proved that this is possible with agile and new ways of working. Another year to go on this project but definitely all the team should be proud of themselves for what they have delivered. Please extend my congratulations and a big thank you to all your team!"
